Role description
This is a contract position - 12 months in duration - supporting the smooth running of a busy corporate office. Sitting within the facilities function, the Office Co-ordinator is the operational backbone of the workplace - managing everything from supplier relationships and space planning to executive meeting logistics and day-to-day administrative flow. It suits someone who thrives on variety, takes ownership naturally and enjoys making an environment work well for the people in it.
Day-to-Day Responsibilities
• Keep daily office operations running smoothly - proactively managing issues before they become problems.
• Work alongside the Head of Facilities on capacity planning, workload balancing and resourcing requirements.
• Manage office layout and space allocation, including meeting room set-up and visitor coordination.
• Serve as the primary point of contact for all in-office facilities queries from internal teams.
• Review and improve office procedures, systems and policies on an ongoing basis.
• Own supplier and service provider relationships - managing performance and maintaining service quality.
• Handle incoming and outgoing communications - sorting, prioritising and distributing efficiently.
• Maintain accurate records and data management systems.
• Manage diaries, meeting scheduling and appointment coordination.
• Handle procurement of office supplies, equipment and catering items.
• Coordinate catering and logistics for on-site and off-site Board and Executive meetings.
• Monitor office expenditure and manage invoice reconciliation.
• Arrange travel, courier and shipping services as required.
• Support vendor administration across a range of service categories including cleaning, security, maintenance and catering.
• Conduct regular building walkthroughs to ensure office standards are consistently upheld.
About You
You will have a background in office management or senior administration, gained in an environment where pace and competing priorities are the norm. Microsoft Office proficiency is a given; comfort working across multiple platforms and systems is equally important. You will be the kind of person who spots what needs doing before being asked, communicates clearly with people at all levels and takes real pride in a well-run workplace. Strong organisational skills, sound judgement and a professional, approachable manner are essential.
